Print Any or All Pages in Microsoft Word

For many years, printing was a simple task of type a small number of pages, select the Print command and wait for a one or two-page document. Lately, I’ve typed many documents that involve 10, 20 or more pages. Some of the pages needed editing and reprinting. But that does not mean I want to reprint the whole document. If I select the Print command and click the OK button, I waste paper printing a multi-page document just for one page. Sometimes, I just need the current page. Sometimes I need to print page 5 and 9 of a 15 page document. Sometimes I need to print just a simple block of text. How do I accomplish these tasks without reprinting the entire document? Before pressing the OK button, take a look at the Page range section of the Print dialog box.

The Print range section displays the All radio button as the default setting to print all pages of a document. Simply click the OK button on the bottom of the Print dialog box and all pages of a document are sent to the printer.

Let’s say you make some changes to a document that does not change the length of a page. All you need is that page without waiting for the entire document. Before clicking the OK button, choose the Current page radio button that will print the current page you are viewing.

There are times that I need a sentence or paragraph that adds impact to a lesson. I don’t want to print the whole document or the page it came from. I just want to print the selected block of text. The Selection radio button is not enabled until a block of text has been picked. Choose the Selection radio button and the selected block of text is sent to the printer.

Figure 4 shows that printing can be ‘out of sequence’. Click the Pages: radio button and enter the range of pages such as those in Figure 4. Notice the page range of 1 through 4 in the first printing sequence, followed by the specific printing of pages 6 and 9. This printing request will print pages 1 through 4, followed by page 6 and page 9.

Next time you have a multi-page document and need to print specific pages, take a closer look in the Print dialog box. Paper and ink gets very expensive when used unwisely.
