PART TWO

Page Numbering in a header or footer, with a different twist.

Several months ago, I published a Microsoft Word tutorial and did not want a long beginning-to-end sequence of page numbers. I wanted:

  • the topic title of each chapter and page number of each page in a chapter, and
  • a chapter page before each chapter with the chapter title and no page number, and numbered pages after the chapter page at the bottom of each page.

But there was a problem. If I chose to insert a page number in page 4 of a 7 page document, pages 1 through 3 also displayed the page number as well. After several minutes of debating whether to include or not include page numbers, I decided to have chapter title pages without page numbers, and the pages that followed a title page would display page numbers. This would be accomplished with Section Breaks.

Using Section Breaks

Open Microsoft Word and create a 3-page document with a few lines of text. Be sure to turn on the Show/Hide button (first row, last item in the Paragraph group)

At the end of each page, insert a Continuous Section Break

  • Click the Page Layout tab
  • In the Page Setup group, click Breaks
  • A drop-down menu appears. Click Continous

Scroll to the first page footer and type Page 1

Scroll to the next page footer and type Page 2. Then Stop!

Look carefully at the Header & Footer Tool tab. In the Navigation group, make sure that the Link to Previous button is not highlighted. If it is, click it to break the link with the previous page.

Scroll to the last page and type Page 3. Again, Stop! Make sure that the Link to Previous button is not highlighted. If it is, click it to break the link with the previous page.

Practice this exercise with a test document and sample text before trying this in a working document. Be sure to check your work by looking at each page to make sure the correct page number follows each page.
